    How to Respond to a Bad Google Review

    Respond within 24 to 48 hours, thank the reviewer, acknowledge the specific problem, apologise once without excuses, and move the conversation offline. A calm, professional reply is written for the hundreds of future guests who will read it, not for the one person who wrote it.

    Why your reply matters more than the review

    Most people reading a one-star review are not deciding what to think of the reviewer. They are deciding what to think of you. A defensive or absent reply confirms the complaint. A composed, specific reply tells every future guest that if something goes wrong at your venue, it gets handled.

    The five-step response formula

    1. Reply within 24 to 48 hours. Speed signals that you take feedback seriously. Waiting weeks makes even a good reply look like damage control.
    2. Thank them and use their name. It de-escalates and shows a human read the review.
    3. Acknowledge the specific issue. Repeat back the actual problem (slow service, a cold dish, a booking mix-up). Generic replies read as copy-paste and do more harm than good.
    4. Apologise once, without excuses. One clear sentence. Explanations about staff shortages or busy nights sound like justifications to a reader.
    5. Take it offline and invite them back. Offer a direct email or phone contact, and leave the door open for a second visit.

    A template you can adapt

    Hi [name], thank you for taking the time to share this. You are right that [specific issue] fell short of the experience we want every guest to have, and I am sorry we let you down on this visit. I would really like to hear more so we can fix it properly. Could you reach me directly at [email]? We would love the chance to show you a better visit next time. [Your name], [role]

    Adapt the middle sentence to the actual complaint every single time. The template is a structure, not a script.

    What never to write

    • Do not argue with the facts of the review in public, even when the reviewer is wrong.
    • Do not blame staff, suppliers or busy periods.
    • Do not offer discounts or freebies in the public reply. It invites complaint farming.
    • Do not copy-paste the same reply under every review. Readers notice, and so does Google.

    Should I respond to every Google review, or only the bad ones?

    Every review. Positive reviews deserve a short, personal thank you, and a profile where the owner visibly engages performs better with both guests and Google. Bad reviews simply need the most care.

    What if the review is unfair or exaggerated?

    Respond as calmly as if it were fair. State your side in one neutral sentence if a fact must be corrected, then move it offline. Readers can usually spot an unreasonable reviewer on their own, and your composure is what they remember.

    Can a good response actually win the customer back?

    Sometimes, and reviewers do occasionally update their rating after a good experience with the follow-up. But the primary audience is always the future guest reading the exchange.
